Importing company data into Excel: columns, sample file and checks

Before a real import, check how your application handles the export columns. The fictitious sample file helps you test the delimiter, accented characters and text columns. CSV is the standard format; XLSX, JSON and a different choice of columns are agreed before delivery. We do not promise a direct integration with any particular CRM.

File structure

What the file contains

Each row is one business, each column one data field. The structure is the same for every industry, so you can merge several exports or load them into the same CRM template.

Column in the CSVLabelContent
nazovCompany nameregistered business name including the legal form suffix.
pravna_formaLegal formfor example s.r.o. (limited company), a.s. (joint-stock company), k.s., v.o.s., cooperative, sole trader or civic association.
icoIČOcompany identification number from the Register of Legal Entities, stored as text so that leading zeros are kept.
dicDIČtax identification number from the Financial Administration list, where available.
ic_dphIČ DPHVAT identification number, for registered VAT payers only.
ulicaStreet and numberregistered office or place of business as recorded in the register.
pscPostcodepostcode (PSČ), stored as text.
obecMunicipalitymunicipality or town of the registered office.
okresDistrictone of the 79 districts (okresy) for a finer regional selection.
krajRegionone of the 8 regions (kraje), derived from the address; the main regional filter.
odvetvieIndustryassignment to one of the 21 databazakontaktov.sk industries.
sk_naceSK NACEmain activity code as recorded in the RPO (SK NACE Rev. 2.1 since 2026).
telefonPhonepublished business number in international format.
emailEmailpublished business address; addresses shared by three or more companies are not supplied.
webWebsitecompany website address including the protocol.
zdroj_kontaktuContact sourceaddress of the page or register where the company published the contact (proof of origin).
datum_zdrojaSource datedate on which we recorded the contact in the source (YYYY-MM-DD).

An empty field means the information was not in the sources; we never fill it in with a guess. Column names in the CSV are in Slovak.

Import guide

From a CSV test to a checked import

  1. Keep the original: store the delivered file unchanged. Use a copy and an empty target table for testing.
  2. Open the import preview: choose your application’s text/CSV import, UTF-8 and semicolon. Check the accented characters and that each header is in its own column.
  3. Set the data types: treat ico, dic, psc and telefon as text in particular. Before loading, check an IČO with a leading zero.
  4. Handle empty fields: import missing values as empty, not as the number 0. When matching, make sure empty import values do not overwrite your existing data.
  5. Check duplicates: merge by IČO. Similar names, identical phone numbers or websites are only clues; check doubtful cases before merging.
  6. Compare the result: do the row count, columns and samples match the original? Only then move the checked import into your working data.

Field coverage before file size

A large file can be of little use if a field you need is often missing. Compare the agreed required fields with the confirmed size of the selection. The database status page explains what the overall figures say and what they do not.

Sample data

The following rows are sample data. The companies in the table and in the sample file are entirely fictitious so that you can see the structure. IČO, tax IDs, VAT IDs and phone numbers are deliberately invalid, and the email addresses end in the reserved domain .example. This is neither a real extract nor a set of contacts for outreach.

FAQ

Frequently asked questions about the export

Decide this rule before the import. It usually makes sense to keep your own verified data and not to treat missing import values as an instruction to delete. Test the field mapping on a copy and check your system’s preview.

The same or a similar name is not enough. Use the IČO and, additionally, the address. If the IČO is missing or the data conflicts, check the record separately.

Do not open the file by double-clicking, or Excel may display accented characters incorrectly and drop leading zeros in the IČO and postcode.

In an empty workbook choose Data › From Text/CSV, set the file origin to Unicode (UTF-8) and the delimiter to semicolon. Set the ico, psc, dic and telefon columns to text and confirm with Load. LibreOffice Calc opens the import dialogue automatically.

We deliver CSV in UTF-8 with BOM, with a semicolon as the delimiter and CRLF line endings. Excel and LibreOffice recognise this combination reliably. If your application expects commas or tabs, we prepare the file accordingly.

They document the origin of a published contact: where the business published its phone number or email address and on which date we recorded it there. This matters for email outreach without consent, because § 116(15) of Act No. 452/2021 Coll. refers to the published contact details of businesses.

We take company identities from the open data of the Register of Legal Entities and give a source date for contacts. The date an export is created is not the date each contact was checked.

We do not promise a fixed update interval for all sources. Details are on the data sources and methodology page.

Yes. By default we deliver all 17 columns; on request you receive a file with only the fields you need for your CRM import. We can also exclude records without a phone number or website.

That depends on the industry, region and filters. For very large selections, keep in mind the limit of 1,048,576 rows per Excel sheet; on request we split them by region or deliver them as JSON.
